OPERATIONS ASSISTANT
POSITION SUMMARY
We are recruiting an Operations Assistant on behalf of our client in the beauty industry. This role provides comprehensive administrative and operational support to the Head of Operations and Operations Managers, ensuring the efficient coordination and execution of daily operations, projects, and internal processes.
KEY RESPONSIBILITIES
Administrative Support (35%)
● Coordinate and schedule meetings (internal and external)
● Prepare meeting agendas, materials, and presentations
● Take detailed meeting minutes and track action items
● Handle correspondence, emails, and phone calls
● Maintain organized filing systems (physical and digital)
● Process expense reports and administrative paperwork
Project Coordination (25%)
● Support operational projects (store openings, system implementations, process
improvements)
● Track project timelines, milestones, and deliverables
● Coordinate across departments and stakeholders
● Follow up on action items and deadlines
● Prepare project status reports and updates
● Organize project documentation and files
● Schedule and coordinate project meetings
Data & Reporting Support (20%)
● Compile data from various sources for operational reports
● Create dashboards, charts, and visualizations
● Maintain KPI tracking spreadsheets
● Generate regular operational reports (daily, weekly, monthly)
● Support ad-hoc data analysis requests
● Ensure data accuracy and integrity
● Distribute reports to relevant stakeholders
Process Documentation (10%)
● Document standard operating procedures (SOPs)
● Update and maintain operations manual
● Create process flowcharts and guides
● Develop training materials and handbooks
● Ensure documentation is current and accessible
● Format and design professional documents
General Operations Support (10%)
● Process purchase requisitions and expense approvals
● Assist with inventory, logistics, or procurement tasks as needed
● Support event and pop-up logistics coordination
● Handle special projects and ad-hoc assignments
● Provide backup support to operations managers when needed

Salary: ₦250,000 (Net)
